Since its founding in 2004 in Tanzania’s Lake Victoria goldfields region, the company has built a reputation for safety, professionalism, and reliability, even in the most remote and challenging environments. 

 

With operations spanning over 20 countries and a growing network of legal entities, Capital needed a digital transformation strategy that could support its ambitious growth, enhance operational efficiency, and mitigate risks stemming from the outdated Accpac ERP system. 

 

Project Mosaic is a groundbreaking digital transformation initiative by Capital Limited, one of the world’s leading mining services providers, in partnership with AXM365. Leveraging Microsoft Dynamics 365 Finance & Operations, Power BI, and the Power Platform, Capital is successfully modernizing its operations across 84 legal entities in 20+ countries, from finance and HR to drilling, mining, laboratories, and supply chain. 

 

After an initial failed Dynamics 365 implementation, Capital made a bold decision to restart the program with AXM365, transforming risk into resilience. Today, Project Mosaic is a model for large-scale transformation in drilling and mining, demonstrating how Microsoft’s cloud ecosystem can drive agility, performance, and growth in the most remote and operationally complex environments. 

 

The Challenge 

 

Capital Limited faced mounting operational and strategic limitations stemming from its legacy ERP system, ACCPAC, which had become a critical barrier to growth, scalability, and efficiency. The system was: 

 

  • Outdated and no longer supported; 
  • Operationally rigid and non-scalable; 
  • Inflexible and unable to adapt to evolving business needs; 
  • Lacking integration and cross-entity visibility. 

 

A significant constraint was the insufficient number of user licenses, which hampered daily operations and created bottlenecks that reduced productivity. In contrast, Microsoft Dynamics 365 (D365) offers a scalable, cloud-based solution with appropriate licensing to ensure all users have seamless access, enabling smoother workflows and improving overall efficiency. 

 

As Capital expanded rapidly across multiple continents, the need for a unified, cloud-enabled ERP system became urgent. The company encountered several compounding challenges: 

 

  • Vast, inconsistent data sets across global operations; 
  • Complex legal, tax, and regulatory environments in different jurisdictions; 
  • Low digital literacy among field-based teams in remote regions; 
  • Change resistance from employees accustomed to manual, legacy processes. 

 

The transition to D365 represented not just a technical migration, but a major organizational transformation—requiring strategic alignment, data standardization, and widespread user adoption to support Capital’s global footprint and ambitious growth objectives.

The Solution: Project Mosaic

To address its operational challenges and enable scalable growth, Capital Limited partnered with AXM365 to launch Project Mosaic, a multi-phase digital transformation initiative centered on Microsoft Dynamics 365 Finance & Operations (D365 F&O), Power BI, and the Power Platform. Project Mosaic is redefining Capital’s financial, HR, and operational landscape across global business units. 

 

Phase 1: Modernizing Global Financial Operations 

 

  • Scope: 18 global holding companies 

 

Delivered full financial consolidation, streamlined financial reporting, and compliance functionality through D365 F&O.  

 

Phase 2: Scalable Human Capital Management 

 

  • Scope: 84 legal entities across MENA, WCAF, EAF, Americas, Australia, and Europe 

 

Unified human capital management enabled workforce visibility and compliance across diverse jurisdictions with standardized HR policies, data structures, and onboarding across all regions. 

 

Phase 3: Expanding Operational Capabilities – Drilling Solution  

 

  • Scope: Tanzania ( 7 Legal Entities)  

 

Tailored Dynamics 365 F&O solution for Capital Drilling, addressing the unique operational and logistical needs of the group’s core business unit.

  • Full financial suite including Accounts Payable (AP), Accounts Receivable (AR), Fixed Assets;
  • Localization for regulatory compliance. 

 

Supply Chain Management

 

  • Integrated warehouse management, procurement, logistics, vendor collaboration;
  • Landed Cost Module for true end-to-end cost control and visibility;
  • Project-based procurement aligned with field operations.

 

Asset Maintenance 

 

Deployed D365 Asset Management Module for:

 

  • Lifecycle tracking;
  • Preventive maintenance;
  • Asset optimization across drilling fleets.

 

Business Insights & Intelligence 

 

Leveraged Power BI, Power Platform, and D365 reporting extensions for:

 

  • Real-time operational and financial reporting;
  • Customized dashboards for executive visibility;
  • Enhanced forecasting and decision-making.

 

This implementation marks a significant milestone in extending the reach of the ERP transformation into field operations, enabling: 

 

  • Real-time tracking of drilling assets and equipment;

  • Stronger performance reporting and forecasting through Power BI.

By extending Microsoft’s technology to its core drilling operations, Capital is closing the loop on its end-to-end digital transformation, bringing modern ERP capabilities directly into the field. 

Challenges Overcome 

Data Quality & Legacy System Limitations

 

A significant hurdle was the poor quality and inconsistency of data inherited from the legacy ERP system, which had accumulated over the years of decentralized operations across various regions and legal entities. Key issues included: 

 

  • Disparate data structures across business units;
  • Incomplete or outdated records;
  • Inconsistent master data definitions (e.g., vendors, customers, products).

 

To address this, Capital Limited and AXM365 developed a centralized data governance framework, supported by: 

 

  • Data cleansing and enrichment exercises before migration;
  • Standardized data models built into D365 F&O;
  • Validation protocols to ensure integrity during and after migration.

 

This effort ensured that once live, the new system would function as a single source of truth across all departments and regions. 

 

User Resistance & Change Management

 

Given Capital’s operations span multiple continents, user adoption presented a cultural and behavioral challenge, especially in remote mining regions where legacy systems and manual processes had become deeply embedded. Common resistance points included: 

 

  • Fear of technology replacing traditional processes;
  • Lack of trust in data accuracy or system reliability;
  • Limited digital literacy in some operational areas.

 

To mitigate this, AXM365 and Capital jointly rolled out a comprehensive change management strategy, including: 

 

  • Region-specific training and enablement plans;
  • Designated “change champions” across departments and sites;
  • Targeted communication strategies to demonstrate the value and benefits of the new platform.

 

This change-enabling approach was critical in building user confidence and achieving system resilience post-implementation. 

 

Recovery & Resilience: A Second, Successful Implementation of D365 

 

Project Mosaic is not Capital Limited’s first attempt at implementing Microsoft Dynamics 365. An earlier rollout, conducted before AXM365’s engagement, did not meet the business’s operational or strategic expectations. The initial implementation failed to deliver on its promises due to:

 

  • Misalignment between solution design and business requirements;
  • Incomplete integration across departments and regions;
  • Insufficient change management and stakeholder engagement;
  • Weak data migration and testing processes.

 

Recognizing the strategic importance of digital transformation, Capital Limited made the bold decision to restart the project from the ground up, this time with a renewed strategy, improved governance, and a new partner, AXM365. 

 

The result was Project Mosaic: a complete recovery and re-implementation of Dynamics 365 Finance & Operations, with a phased, business-led approach and clear alignment to Capital’s operational model.
